Lighting Specification Writing — Professional Spec Documents
How to write clear, enforceable lighting specifications that protect design intent through procurement and installation.

Why Specification Quality Matters
A lighting specification is the legal and technical document that translates the designer's intent into procurement and installation instructions. A poor specification leads to value-engineering disasters, unauthorized substitutions, and projects that look nothing like the design. In GCC markets, where contractor-driven substitutions are common, a robust specification is the designer's most important tool for protecting design integrity.
Specification Structure
A complete lighting specification typically includes: 1. General Requirements: Scope, standards compliance (EN 12464, IEC 60598, local codes), warranty requirements, testing and commissioning provisions. 2. Luminaire Schedule: A table listing every fixture type with: tag number, description, lamp/LED source, wattage, lumens, efficacy, CCT, CRI, beam angle, IP rating, IK rating, dimensions, mounting type, finish, driver type, dimming protocol, and approved manufacturers. 3. Performance Requirements: Minimum photometric performance specified as measurable criteria: illuminance, uniformity, UGR, CRI/TM-30, flicker limits, and lifetime ratings. 4. Substitution Criteria: If alternatives to the specified product are permitted, list the exact performance parameters that must be matched or exceeded. Include IES file submission requirements for review. 5. Controls Specification: Protocol (DALI-2, 0-10V, wireless), control zones, scheduling requirements, daylight harvesting, occupancy sensing, and integration with BMS. 6. Warranty and Testing: Minimum warranty period (5 years parts + labor for LED), on-site photometric verification requirements, and commissioning acceptance criteria.
Luminaire Schedule Template
| 0 | 1 | 2 |
|---|---|---|
| Type Tag | DL-01 | Unique identifier per luminaire type |
| Description | Recessed LED Downlight 150mm | Clear physical description |
| Source | LED 15W | Technology and system wattage |
| Lumens | 1,800 lm (delivered) | System lumens, not chip lumens |
| Efficacy | 120 lm/W minimum | At system level including driver losses |
| CCT | 4000K (3985K ± 100K) | Specify tolerance via MacAdam step (3 SDCM) |
| CRI / TM-30 | CRI ≥ 90, R9 ≥ 50; Rf ≥ 85, Rg 97-105 | Include R9 and TM-30 where critical |
| Beam Angle | 36° (FWHM) | With field angle noted if relevant |
| IP Rating | IP44 | Minimum for the installation environment |
| IK Rating | IK06 | Impact resistance minimum |
| Driver | DALI-2, dimmable 1-100% | Specify protocol and dim range |
| Lifetime | L80B10 at 50,000h (Ta=35°C) | Include test temperature and confidence |
| Flicker | PstLM ≤ 1.0, SVM ≤ 1.0 | At all dimming levels |
| Warranty | 5 years parts + labor | Including driver and LED module |
Protecting Against Unauthorized Substitutions
Include a substitution clause: 'Proposed alternatives must match or exceed all specified photometric, electrical, and physical parameters. Submit independently tested IES files, TM-30 data, LM-80/TM-21 reports, and warranty documentation for review minimum 21 days before procurement. The lighting designer reserves the right to reject any substitution that does not demonstrate equivalent performance.'
